About us

Protean Risk Limited (Protean Risk) is a specialist insurance broker advising firms in the investment industry, financial services and technology sectors. We are authorised and regulated by the Financial Conduct Authority (firm number 479839) and a Registered Lloyd’s Broker.

Controller and Processor

We are the “Controller” and “Processor” of your personal information. Your personal information will be securely stored confidentially on our computer systems and/or in paper files. When you are using Protean Risk websites, Protean Risk Limited is the data controller.

How we collect information

We collect data directly from you, for example when you:

  • Contact us by any means to enquire about us, our services etc.;

  • Use our services, such as arranging insurance on your behalf;

  • Visit any of our websites and when you complete a form;

  • Engage with one of our marketing emails or on social media.

We, also, obtain information about you from publicly available sources and collect website usage information using cookies (see “Cookies” section below).

The legal bases we rely on

The law on data protection sets out a number of different reasons for collecting and processing your personal data, including:

  • Consent: In specific situations, we collect and process your data with your consent.  For example, when you tick a box to receive email newsletters.

  • Contractual obligations: In certain circumstances, we need your personal data to deliver our services for example if you ask us to obtain insurance terms or instruct us to place insurance on your behalf.

  • Legitimate interests: in specific situations, we require your data to pursue our legitimate business interests in a way which might reasonably be expected as part of running our business.  We make sure to consider and balance any potential impact on you (both positive and negative), and your rights under data protection laws.  Our legitimate business interests do not automatically override your interests - we will not use your personal data for activities where our interests are overridden by the impact on you (unless we have your consent or are otherwise required or permitted to by law).

If you have any concerns about this processing, you have the right to object to processing that is based on our legitimate interests or you can withdraw your consent.  You can do that by contacting us using one of the options in the ‘How To Contact Us’ section.

The type of information collected

The personal information we collect might include name, address, email address, IP address, information pertinent to the insurance you require and information regarding which website pages are accessed and when.

How information is used

We may use your information in the following ways:

  • Obtain a quotation for your insurance, to place insurance on your behalf and to provide insurance and risk advice or answer your specific questions;

  • Carry out our obligations arising from any contracts entered into by you and us;

  • Seeking your views or comments on the services we provide;

  • Notify you of changes to our services;

  • Send you communications which you have requested and that may be of interest

  • Process a job application;

  • For marketing purposes.

We review our retention periods for personal information on a regular basis. We take into account that we are legally required to hold some types of information, for example, relating to insurance policies we place on behalf of our clients. Your information we use for marketing purposes will be kept with us until you notify us that you no longer wish to receive this information.

How we share your information

We will never share, rent or pass your information to any third parties except to obtain insurance quotations, place your insurance cover or process claims and only then when you have specifically instructed us to do so.

In this event we will share your information with insurance underwriters who may then share your information with a range of other firms to help them provide the insurance including third party claims adjusters, fraud detection and prevention services, third party service providers, firms, legal advisers, reinsurance companies, insurer tracing services and insurance regulatory authorities.

We disclose only the personal information that is necessary to deliver the service and we have a contract in place that requires them to keep your information secure and not to use it for their own direct marketing purposes.
